Faculty Guide to Electronic Reserves

The Law Library provides an Electronic Reserve Collection (E-Reserve). The E-Reserve allows students to access course materials as a PDF file on the Library website. Many of you already provide electronic access to your students through the use a virtual classroom package such as Blackboard. Others place hard copy items on reserve at the Circulation desk. Now you have another choice. You can continue to place readings on reserve in hard copy or you can place material on E-Reserve!

If you have further question regarding the E-Reserve service or submission procedures please contact the circulation department at (973) 353-5677.

E-Reserve Questions

  1. When will an E-Reserve request become available?
  2. What types of materials can be placed in the E-Reserve?
  3. What about copyright issues?
  4. How can you request an item be placed on E-Reserve?
  5. Are E-Reserve materials archived for future use?

When will an E-Reserve request become available?

Send us your reserve item requests as soon as possible. If the material is recieved at least one week prior to the start of the upcoming semester's courses it will posted on the E-Reserves website before classes begin. Requests recieved after that time will be posted on a rolling basis, but should take no longer than 5 business days to be posted.

What types of materials can be placed in the E-Reserve?

If you choose E-Reserve, you can place documents such as syllabi, problem sets, readings, lecture notes, selections from treatises, or periodical articles in the E-Reserve Collection. The documents will be provided as Adobe PDF or HTML files (when available). The material will be available from the Law Library web page, and it will be password protected. Authorized users will be able to access these documents from remote locations at any time. Electronic reserve documents will be accessible by instructor's name and course name

What about copyright issues?

The Library policy for reserve collections is derived from the fair use guidelines of the United States Copyright Act of 1976. The Law Library will continue to observe these guidelines for electronic reserve materials and services. We will not place electronic files or web pages on reserve if we believe the nature, scope, or extent of copying exceeds limits of fair use.

For your convenience we are providing you with a link to the "Copyright Guidelines" that appear on the University Library web page. Please refer to the link below if you have any questions about the guidelines or call us.

How can you request an item be placed on E-Reserve?

Two Choices:

1. Material in Electronic Format

E-mail your request to: wfang@kinoy.rutgers.edu. The material you wish to place on E-Reserve should be in a file attached to the email. We can accept most popular word processing, spreadsheet, and image formats (If you can send it in PDF, please do so.) Please note that formatting may be altered when library staff convert documents to PDF, or HTML format.

Include the following information in the e-mail:

  1. Professor's Name
  2. Professor's Email address
  3. Course Title
  4. Semester needed: Fall, Spring, Summer, or Fall & Spring
  5. Individual Reserve Item Information (This can be copied from our catalog if applicable)
    1. Item title as you wish it to appear on the E-Reserve Page
    2. Item author (Optional)
    3. The item's call number (Optional)
  6. Any special instructions you might have for the item.

You will receive an e-mail acknowledging receipt of the request for E-Reserve. You will also receive an e-mail when the materials are posted for your review.

Documents recieved at least one week before the start of classes will be available when classes for the new semester begin.

2. Material in hard copy.

To submit a hard copy, please send an e-mail request to: mailto:wfang@kinoy.rutgers.edu.

Make a note in "Special Instructions" that the material will be brought to the Library.

When you give the item(s) to a Circulation staff member, tell the staff member that the material is for E-Reserve. Unless you specify that you want the material returned, it will be processed and kept by the library. Each submission should not exceed 75 pages unless prior arrangements are made with the Director of the Library or the Digital Services Librarian.

Also include the following information about the item in the email:

  1. Professor's Name
  2. Professor's Email address
  3. Course Title
  4. Semester needed: Fall, Spring, Summer, or Fall & Spring
  5. Individual Reserve Item Information (This can be copied from our catalog if applicable)
    1. Item title as you wish it to appear on the E-Reserve Page
    2. Item author (Optional)
    3. The item's call number (Optional)
  6. Any special instructions you might have regarding the item

You will receive a return email acknowledging receipt of the request for E-Reserve. You will also receive an e-mail when the materials are posted for your review. Documents submitted at least one week before classes will be available at the start of the upcoming semester. For Documents recieved after the start of the semester please allow approximately five business days for us to make the documents available in the E-Reserve.

Are E-Reserve materials archived for future use?

Yes. While only the materials for the current semester are displayed on the E-Reserve website, all materials complying with fair use guidelines are archived for future use. The library maintains a database of materials submitted to the E-Reserve. Since faculty members often use the same reserve items over the course of several terms this database allows the library to easily re-post reserve materials from previous semesters when the need arises.

I'm Adjunct Faculty Member, how do I use my Andromeda Account?

Every staff member, including adjunct faculty should have an Andromeda account if they have been added to Rutgers payroll system. Rutgers Computing Services [RUCS] provides every staff and student with an account that gives them access to a variety of online University services including email and library online resources. Staff accounts are called Andromeda accounts. The homepage for RUCS staff information is http://www.ncs.rutgers.edu/facstaff.html. You will need to follow the following steps in order to set up your Andromeda account for active usage.

  1. First verify what your Rutgers net-id is. You can this at https://www.acs.rutgers.edu/netidquery/.
  2. After you've verify your net-id, you then can set up your Andromeda account by following the instructions at RUCS Account Guide. To find the link you'll need to use to set up the account scroll to the bottom of the RUCS Account Guide and follow the link at the bullet point containing the statement "Newark faculty and staff: andromeda." Following that link will take you to a form where you can set up your Andromeda account. Once you fill out that form you need to wait about 24 hours for your account to become active.
  3. Once your account is active you can log into the Law Library E-Reserves at http://law-library.rutgers.edu/services/ereserve.php to view your course materials.

If you cannot verify your net-id at the link in item 1 above, please contact Wei Fang at wfang@kinoy.rutgers.edu or (973) 353-3061. Inability to verify your net-id means you have not been set up properly in the RUCS system and we will have to contact them directly in order to rectify the problem.
